After-Hours Answering Service — and Full 24/7 Coverage

The question is not whether someone picks up at 2am. It is what that person is allowed to decide — and whether the decision reaches you in time to matter.

AI voice $0.15 a minute for the routine overnight calls, live agents from $300 a month for the ones that need judgment. Minimum half a seat, so night coverage does not require buying a daytime team.

at a glance

What is an after-hours answering service?

An after-hours answering service picks up your business line on evenings, nights, weekends, and holidays — answering routine calls, taking structured messages, and escalating real emergencies to your on-call person by your rules. Out-of-hours, overnight, weekend answering: different names, same job.

Callnovo runs it as hybrid — AI for the routine, live agents for judgment — as part of our AI answering service.

the real question

Overnight, the cheap part is answering. The expensive part is deciding.

Answering a phone at 2am is a commodity. Dozens of services will do it, and AI will do it for fifteen cents a minute. That is not what businesses are really paying for.

What a business is actually buying overnight is a judgment: is this worth waking somebody up for? Say yes too often and you burn out the person on call and pay overtime for work that could have waited. Say no once when it mattered and you lose the customer, and sometimes considerably more than the customer.

That asymmetry is the whole design. Automate every call whose downside is capped; put a person on every call whose downside is not. Not because people answer phones better, but because when the downside is not capped, a trained person is still the right place to weigh your rules, the caller's tone and your actual capacity — at 2am.

your rules, not ours

Four things you write, and we execute.

An after-hours service is only as good as the escalation rules behind it. These are yours to define — we do not bring a generic version and hope it fits:

What qualifies as an emergency

Written by you, followed by us. Not a confidence score, not a model deciding what "urgent" means — your list, in your words, with your thresholds.

Who gets called, in what order

Your on-call rotation is the list we work: primary, secondary, retry counts, wait times, and what happens if nobody answers — all written into your account. Most services stop at "we left a message"; your rules decide when we stop.

What the caller is told

Whether they are told someone is coming, that they will hear back in the morning, or to call 911. That sentence is often the most consequential thing said all night, and it should be your sentence.

What gets documented

Every call, timestamped, with what was said and what was decided — a message service your morning team can act on. If a customer later disputes when they called, you can check rather than argue.

emergencies

Emergency answering, without pretending to be a dispatcher.

An emergency answering service does three things well: it recognises what you define as an emergency, it reaches your on-call person fast, and it tells the caller the truth about what happens next. It does not diagnose, it does not dispatch crews, and it never stands between a life-safety call and local emergency services.

what it costs

Published rates, and the arithmetic of a quiet night.

Most vendors in this category quote by form. These are our published packages — the per-minute figures are the monthly price divided by the included minutes, so you can check the division.

OptionPublished pricePer minuteWhat it's for
AI voice $0.15 per minute Overnight scheduling, hours, arrival windows, rate questions
Web chat $0.05 per session Quote requests that land on your site at midnight
Live shared team from $300 / month includes 500 min → ≈ $0.60/min Nights and weekends, when a real emergency needs a person
Live shared team from $650 / month includes 1,500 min → ≈ $0.43/min Round-the-clock coverage, including daytime overflow
Dedicated agent from $5.80 per hour, per agent Your scripts and escalation rules, a named team

Put your own numbers in: a three-minute overnight call costs $0.45 on AI and about $1.80 with a live agent. If your nights are mostly routine, run AI and keep a person available only for the calls that clear your emergency threshold. That mix is why half a seat is our minimum — night coverage should not require buying a daytime team.

when we're the wrong choice

Three cases where you should hire someone else.

  • You want a dispatcher, not an answering service. We take the call, apply your rules and get it to the right person with a complete record. We do not manage your board, reassign crews or make routing decisions between jobs. If you need someone running dispatch overnight, that is a hire.
  • You want the same named person every night. A shared team means a briefed group, not one individual you will recognise. A dedicated agent from $5.80 an hour gets closer, but a single person cannot cover seven nights a week — that is three people, and you should price it that way.
  • Your phone genuinely does not ring after close. Some businesses really do stop at six. If your voicemail is empty most mornings, this is a solution to a problem you do not have. Check a month of call logs before you buy anything.

questions

What buyers ask before they sign.

What does an after-hours answering service cost?

AI voice is $0.15 per minute and web chat is $0.05 per session — for overnight volume that is usually a few dollars a month. Live agents start at $300 per month including 500 minutes, or from $5.80 per hour for a dedicated agent. The minimum engagement is half a seat, so you are not buying daytime capacity to get night coverage.

Is 24/7 coverage the same thing as after-hours?

Mostly. After-hours means evenings, nights and weekends around your own opening times; 24/7 means the phone is never unanswered, including during your day when your team is busy. The setup is the same and so is the pricing — what changes is how many minutes you use.

Who decides what is urgent enough to call me at 2am?

You do, and we execute it. You define what qualifies, who gets called first, how they are reached, and what happens if they do not answer. We work your list rather than a generic one, and every call is logged with a timestamp so you can review afterwards whether the rules are right.

Can AI handle the overnight calls to keep the cost down?

For routine calls, yes, and it is usually the right answer — hours, scheduling, arrival windows and pricing questions all have a correct response sitting in your system. What we would not automate is the judgment call: whether something is a real emergency. That is what a person is for.

How fast can overnight coverage start?

Five days is our normal window to staff a live account — five days to find and place an agent who fits your business, not five days of software setup. AI voice can go live sooner because there is no hiring step.

Do you cover weekends and holidays?

Yes — weekends, statutory holidays, and your own closure days all count as after-hours. You hand us the calendar once and coverage follows it. Any holiday, language, or staffing adjustments are shown in your quote before service begins.

What counts as an emergency call?

Whatever your written escalation list says — we don't decide it for you. Typical lists include no-heat, active leaks, lockouts, and security alarms. Calls indicating immediate danger, serious injury, fire, or another life-safety risk follow your approved emergency-services script rather than ordinary on-call escalation.

Do you answer in Spanish overnight too?

Yes, on the same number and the same queue. Spanish is answered by native speakers in our Bolivia and Nicaragua operation centres, which are in US-adjacent time zones — so evening coverage in Spanish does not depend on anybody working a night shift.

start

Send us a month of after-hours call logs.

We will come back with a split — how many of those calls had a right answer sitting in your system, how many needed a human decision, and what each side costs at your volume. If the logs say you do not need us, we will tell you that too.
